Special Projects Coordinator

BigStar Motion Design is seeking a freelance Special Projects Coordinator to play a key role in the operations of a growing creative services company. This is a 2 to 3 month freelance contract initially with the potential to evolve into a staff position for the right candidate. The primary focus of this position is to provide support across production, administrative, and sales and marketing departments. This position requires an individual who is highly communicative, organized, responsible, and ambitious.

Responsibilities

  • General Office Administration: reception, managing office supplies, shipments and deliveries, liaising with building management and contractors such as cleaning services and utility companies, groceries and kitchen necessities.
  • Sales & Marketing Assistance: Assist sales and marketing team with communications calendar, marketing materials including newsletter, sales presentations, and case study creation and assets, database management, liaising between teams to ensure tasks are completed and content is delivered to the correct individual on time, general assistance with meeting scheduling and organization
  • External & Internal Communications: Individual must be a strong communicator with the ability to handle the company’s scheduling. This includes liaising with clients to schedule meetings, using Google Calendar and Zoom to send invites, assessing the schedule for double bookings or conflicts, ability to manage any necessary schedule revisions or avoid any inopportune times for meetings. Additionally, communicating over email with clients in a professional manner, Slack and email communication with internal colleagues, general management of Slack channels.
  • Special Projects: Spearhead all special projects across the company. This includes but is not limited to company outings and special events, internal office projects, client and executive dinners, marketing initiatives, etc.

Qualifications

  • At least 1 years of experience preferred but not required.
  • Administrative or related experience preferred but not required.
  • High aptitude for written communication.
  • Familiarity using Google Suite & Microsoft Office.
  • Proficient in time management and balancing multiple calendars/schedules.
  • Basic knowledge of Adobe Creative Suite a plus.
  • Ability to work in a team-oriented, fast-paced environment.
  • Ability to work flexible hours when needed.
  • Personable attitude interacting with and greeting clients
  • An interest in post-production, motion graphics, documentary film, and television.
  • BA/BS degree.

- Must be able to work on-site at the BGSTR office in the Chelsea Art District.
